Tundra Large Party Policies

Payment:  
Cash or credit card will be accepted for the remaining balance of your charges at the end of your event unless prior arrangements have been made. Checks require prior approval. We accept American Express, Visa and Master Card.

Deposit Requirements:
A non-refundable deposit must be given in order to reserve any dates and locations at the Beaumont Hotel and its restaurants. The deposit is calculated at the estimated menu cost per person and is 50% of the guaranteed number of guests. The deposit amount will be applied to the final billing after all taxes and service charges are computed.

Miscellaneous Fees:  
Dance Floor Fee:   $300.00
This amount includes the rental, setup and removal of a 12 x 12 dance floor. Due to the potential of extreme wear and tear floor protection is required if there will be any dancing.

Taxes and Gratuities:
All applicable taxes and minimum service charge of 20% will be added to all final food and beverage charges.

Menu Selection:
All food, beverages and wine are to be provided by the restaurant. To ensure product availability we ask that all menu and special wine choices be finalized at least two weeks prior to the event. Until a deposit is received, prices and selections are subject to change.

Liquor Policy:  
No alcohol will be served to anyone under the age of 21. Please note that our servers and bartenders are required to verify this and may ask for proof of age. We reserve the right to refuse service of alcohol to anyone at any time. No alcohol is to leave the premises.

Place Card Requirements:
Named place cards are required at each seat with the entrée selection somehow notated on the front or back of the card in view of the server. The notation can be of your choice. If you do not wish to assign seats, guest cards should be prepared and given out as your guests arrive to be placed at his/her seat. We will need to be provided with the guest list and a copy of a numbered table map.

Event Coordinator:
The Beaumont requires constant communication between our event coordinator, you and your independent contractors. This person will facilitate your requests and requirements with the hotel and restaurant staff ensuring as little confusion as possible the day of your event. There is no fee for these services.

Independent Contractor Requirements:
Names and contact information for hired musicians, photographers, florists, bakers and all other hired professionals must be provided to the event coordinator a minimum of two weeks prior to your event.

Decorations and Flowers:
Due to the historic value of the Beaumont and the furnishings therein, we limit decorations to floral arrangements or sprays on table-tops. There can be no attaching to or draping over any walls, ceilings, light fixtures, chandeliers or furniture. Floral arrangements should be delivered no more than 3 hours before your event. All flowers and decorations must be removed by the host immediately following the event.

Linens and Centerpieces:
Linens and simple candle-lamp centerpieces are provided without a fee in the Tundra. We can not guarantee these amenities if you event is in Bulow’s Bistro, however, arrangements may be arranged.

Photography:  
To ensure the comfort of other guests, photo shoots will be limited to the rented venue for your event unless prior arrangements have been made with the hotel.

Music and Dancing:  
We are happy to provide background music through our stereo system free of charge. Live music, acoustical performers and disc jockeys are permitted at the restaurant with prior approval and a dance floor is required.

Audio/Visual Equipment:
The Beaumont does not provide any audio or visual equipment. Any rented equipment must have prior approval and should be delivered the same day as your event. Pickup can be directly following the event or, if arrangements have been made in advance, the following morning. The Beaumont assumes no responsibility for any lost, soiled, broken or stolen articles of equipment.

Additional Policies:
• Site inspections can be arranged with a 24 hour notice.
• The host is responsible for any damages caused to the restaurant or hotel property by their guests or as a result of their party.
• We do not assume responsibility for damage or loss of any article brought on premises.
• Due to its historic nature The Beaumont Hotel, Tundra Restaurant and Bulow’s Bistro are not child-proof. We ask that children be closely watched by an adult at all times.
